“Summarise the call with Muster Logistik for the CRM: need, who decides, concerns, next steps.” Transkript_Muster-Logistik.docx

File · Transcript Real output

Here is the summary of the call for the CRM:

Summary: first call with Muster Logistik GmbH (6 Oct 2026)

Participants: Thomas Brandt (Kranich, sales) · Katrin Albers (Muster Logistik, head of facility management) · Daniel Roth (Muster Logistik, engineering, Bremen site)

Need

  • 12 sites in northern Germany, approx. 140 sectional doors at the loading bays, drives partly 20 years old, spare parts hardly available any more.
  • 11 breakdowns this year in Bremen alone; a breakdown means a blocked bay, trucks waiting, the shift plan in disarray.
  • Refit planned step by step: start in Q1 with Bremen and Hamburg (38 doors together), the rest spread over 2027.
  • Recommended product: KA-400 (up to 150 cycles/day), connected to the loading-bay control/yard management via potential-free contacts or Modbus.
  • Additional service: maintenance contract with 4h response time, 365 days.

Who decides

  • Katrin Albers prepares the decision.
  • The final decision is made by managing director Mr Lindner together with purchasing.
  • Lindner must sign off on anything above €250,000.
  • The investment committee meets on 28 Oct 2026.

Concerns

  • The refit must not bring operations to a halt – installation has to happen at night/at weekends (Kranich’s commitment: approx. 3h per door, feasible on night shifts).
  • Maintenance response time must reliably be under 4h (committed).
  • A competing offer exists: cheaper, but installation only possible from April. Kranich can start in February.

Next steps

  • 14 Oct 2026, 9:00, Bremen: on-site inspection of the doors with a Kranich technician (morning, confirmed by Daniel Roth).
  • Quote for Bremen + Hamburg (incl. installation & maintenance) plus a rough projection for all 12 sites, promised by 16 Oct 2026.
  • Goal: documents in good time before the investment committee on 28 Oct 2026.

Shall I save this as a document in your workspace?

“I’m visiting Muster Logistik in Bremen on 14 Oct to see the site. Read everything in the SharePoint folder Vertrieb/Kunden/Muster Logistik and give me a one-page briefing: what they need, what I have to check on site, where the risks are.”

Connector · SharePoint Real output

Saved. The two most important points for the visit:

  1. Large doors 2-05/2-06 in hall 2 are too wide for the proposed KA-400 at 5.5 m (max. 5.0 m) – be sure to measure them on site, otherwise the quote will be miscalculated.
  2. Spare parts for the old S-50 drives have been discontinued, stock = 0 – this mainly affects hall 3, which also had the most faults in 2026. That is an argument for urgency and at the same time a risk until the refit.

Hall 3 is also currently not connected to the loading-bay control, which the customer explicitly wants – this needs to be clarified on site, including whether it becomes part of the quote.

Briefing Muster Logistik – site visit 14 OctDocument

Site visit briefing: Muster Logistik, Bremen – 14 Oct 2026, 9:00

Customer: Muster Logistik GmbH · contact on site: Daniel Roth (engineering, Bremen site) · internal decision-maker: Katrin Albers (head of facility management) · final decision: managing director Lindner + purchasing (MD sign-off required above €250,000)

Starting point

12 sites in northern Germany, ~140 sectional doors at loading bays, drives partly 20 years old. Modernisation is to happen step by step: Bremen + Hamburg (38 doors) as the starter package, the rest spread over 2027. The customer is getting a competing offer in parallel (cheaper, but installation only from April – our time advantage: start in February).

What the customer needs
  • Quote for Bremen + Hamburg (38 doors) incl. installation and maintenance contract, promised by 16 Oct
  • Rough projection for all 12 sites (investment committee meets on 28 Oct)
  • Connection of the new drives to the existing loading-bay control/yard management
  • Installation without shutting down the halls – night/weekend shifts only
  • Maintenance contract with 4-hour response time, 365 days
  • Product proposed so far: KA-400 (up to 150 cycles/day, max. 25 m², max. 5.0 m wide)
Check on site (checklist)
  • Large doors 2-05/2-06 (hall 2, swap bodies): 5.5 m wide / 27.5 m² – these are above the KA-400 specification (max. 5.0 m / 25 m²). Measure them and recalculate with the KA-600.
  • Interface to the loading-bay control: which protocol does the existing yard management use (potential-free contacts vs. Modbus RTU)? Must be clarified before the quote for the connection.
  • Hall 3 (doors 3-01 to 3-08): currently no connection to the loading-bay control – clarify whether retrofitting should be part of the quote (extra work/cost).
  • Verify cycle counts on site, especially door 3-07 (150 cycles/day = KA-400 upper limit) – plan in a reserve or recommend the KA-600.
  • Access/power supply for night-shift installation, space needed for a mobile elevating work platform.
  • Condition of door 1-02 (section replaced after a truck collision) – mechanical condition OK?
  • Compare spare parts/motor stock on site against the log.

Excerpt. The briefing continues with risks and dates.

Assumptions & data

  • Source: Marketing-Budget_2026.xlsx, sheet “Budget 2026”, uploaded on 5 Oct 2026.
  • Cost per lead: calculated as actual (EUR) ÷ leads per row; weighted by actual spend in totals.
  • Notable: for “Trade fairs & events” the planned budget in March, June and September is €30,000, well above the other months (€6,000) – probably planned quarterly trade fairs, not data entry errors.

    • Public sector / fire services 7 leads – a smaller group, but highly relevant for emergency release and references (see next slides).

  4. Customer feedback

Top topics & customer questions at the stand

    • Top topicRetrofitting existing doorsThe most frequent question of all – roughly every third conversation: “Can existing doors be retrofitted without replacing the door?”
    • SecurityEmergency release during power failureAsked about often, especially by fire services and hospitals.
    • Action neededKA-400 delivery timeWe communicate 4 weeks, a competitor advertises 3 weeks – a competitive disadvantage.

  5. Market & organisation

    Competition and stand feedback

    Competition: Muster Torsysteme

    • New product: presented a new high-speed door in its portfolio.
    • Price: aggressive trade fair prices, –15% below list price.
    • Delivery time argument: advertises 3 weeks for products similar to the KA-400 (us: 4 weeks).
    • Assessment: the competitor has a price and delivery time advantage – sharpen our arguments on service (4h maintenance contract) and retrofittability.

    Stand feedback

    • Problem: the stand was hard to find (hall 4, back aisle).
    • Impact: probably lost walk-in visitors / conversations.
    • Recommendation for the sales & trade fair team: book hall 3 or a more visible location for 2027.

Employment reference Jana PetersDocument

Kranich Antriebstechnik GmbH · Bremen

Employment reference

Ms Jana Peters, born on 14 March 1994, was employed by our company from 1 April 2021 to 31 December 2026, most recently as team coordinator for order processing.

Kranich Antriebstechnik GmbH develops and sells door drives and related spare parts to specialist dealers.

Ms Peters joined our company on 1 April 2021 as an order processing clerk. On 1 January 2024 she took over the position of team coordinator for order processing, with responsibility for three employees.

Her most recent duties included:

  • Entering and checking orders for door drives and spare parts in the ERP system
  • Coordinating delivery dates with production and shipping
  • Looking after around 60 specialist dealers as the central contact for queries and complaints
  • Training and scheduling the team and deputising for the head of inside sales
  • As a key user, a leading role in introducing the new ERP order processing module in 2023, including training 25 colleagues

Ms Peters grasps new matters very quickly and always got to grips with new tasks and systems swiftly and confidently. She worked in a consistently very structured and goal-oriented way; even at seasonal peaks she always kept the overview and set priorities with great foresight. Thanks to her commitment, she reduced the lead time from order receipt to order confirmation from three to two working days.

As a key user, she mastered the new ERP module comprehensively in a very short time and passed on her knowledge in training 25 colleagues with great teaching skill.

In her role as team coordinator, Ms Peters always led her team in a motivating and fair way. Thanks to her appreciative and at the same time clear leadership, there has been no staff turnover in the team since 2024. She also deputised for the head of inside sales with confidence and a great sense of responsibility.

Ms Peters completed all tasks assigned to her always to our fullest satisfaction.

Her conduct towards superiors, colleagues and customers was always exemplary. Our specialist dealers greatly valued her as a competent and reliable contact.

Ms Peters is leaving our company at her own request on 31 December 2026 to pursue a new career direction. We very much regret her departure, thank her for the consistently very good cooperation and wish her all the best and continued success in her future career and private life.

IT support: From the error to the fix.

“Jonas from sales sent me this screenshot. What’s the problem, and what should he do now?” Fehlermeldung_VPN.png

File · Screenshot Real output

Problem: The password of the user KRANICH\j.meier expired on 7 Oct 2026. That is why the VPN sign-in fails (error code 0x80070532). The tool requires a password change before it can connect – at the same time, the dialog says the password can only be changed on the company network. A classic deadlock: no password change without VPN, no VPN without a password change.

What Jonas should do now:

  1. Sign in on the company network in the office and change the password there as usual, if that is possible.
  2. If he can’t come to the office: contact IT support and have the password reset remotely (usual for expired passwords without VPN access).
  3. Then sign in to/unlock the computer with the new password, and only then try the VPN connection again.

Shall I write this up as short instructions for Jonas that you can forward to him?

“For a week now, the print service on our print server has been crashing at night. Look at the log: what’s causing it, and what should we do?” Druckserver_PRN01_Ereignisse.log

File · Event log Real output

Findings

The log shows a clear chain of cause and effect:

Trigger: On 30 Sep 2026, 10:38 pm the printer driver "PX Universal PCL6" was updated from version 4.1.8.0 to 4.2.1.0 (affects HALLE2-LS01 and HALLE1-ETIKETT).

Consequence – every night since:

  1. 02:00: the ERP service (svc-erp) queues the nightly batch print "Lieferscheine_Sammeldruck" on HALLE2-LS01 (350–450 pages).
  2. After about 14–17 minutes of printing, spoolsv.exe crashes with exception code 0xc0000005 (access violation) in the module pxupcl6.dll – that is, in the new driver itself.
  3. The "Print Spooler" service restarts automatically after ~60 seconds.
  4. However, the running batch print job cannot be recovered and is deleted – only 120–210 of 350–450 pages get printed.

This pattern (crash → service restart → deleted job) has occurred every night with a batch print since 1 Oct 2026 – 3 Oct and 4 Oct (weekend, no batch print job) are the only exceptions, which confirms the link with the large night job on HALLE2-LS01. Before the driver update (29/30 Sep), the same jobs ran without errors.

Cause: The updated PCL6 driver (4.2.1.0) is unstable when processing the large nightly batch print job on HALLE2-LS01 and makes the spooler crash.

Recommendation

  1. Immediate action: Roll the "PX Universal PCL6" driver on HALLE2-LS01 (and, as a precaution, HALLE1-ETIKETT) back to version 4.1.8.0 – the previous stable release.
  2. Medium term: Check with the vendor whether there is a patch/hotfix for 4.2.1.0 that fixes the crash in pxupcl6.dll before updating again.
  3. Check: Watch the next night after the rollback – it has worked if "Lieferscheine_Sammeldruck" runs through completely again (target = actual page count).
  4. Side finding, unrelated: Printer BUERO-OG-03 keeps reporting low toner (black, 8%) – the toner should be replaced.

Shall I save this as a document in your workspace or create a ticket template for IT/the service provider?

Finance: Figures and receipts checked, without wading through spreadsheets.

Difference: EUR 588.00 net, EUR 699.72 gross overcharged

Recommendation

Reject invoice RE-26814 for correction or request a corrected invoice because of:

  1. the quantity discrepancy (2 units missing, follow-up delivery in week 42 outstanding)
  2. the price discrepancy from the agreed fixed price
  3. freight costs charged without justification (free delivery agreed)
  4. the missing early-payment discount

Payment should be withheld until this is clarified, or only the correct amount (EUR 9,042.81 gross) should be released.

Review of travel expense claim RK-2026-0412 (Jonas Meier) against the 2026 travel expense policy

ItemAmountReview
Rail return trip, 1st class (journey time 1:17 h each way)2× €89.90Breach According to section 2 of the policy, 1st class is only allowed for journeys >4 h or if the price is not higher than 2nd class. The journey time is 1:17 h. A price comparison with 2nd class is missing. Without this proof, not reimbursable in full.
Hotel Am Maschsee, 2 nights at €118 incl. breakfast€236.00OK Hanover is not one of the cities with the €170 cap (Munich/Frankfurt/Hamburg) but falls under the €140 cap. €118 is below it.
Hospitality, Muster Handel AG, 3 people (till receipt only)€186.40Breach Section 6 of the policy requires a complete hospitality receipt: a machine-printed invoice plus the occasion and attendees, signed by the host. A till receipt alone is not enough – and the occasion and attendees are also missing. The receipt is incomplete; the item is currently not reimbursable.
Taxi hotel–customer–hotel€31.80Borderline Section 5 of the policy requires that public transport was not reasonable, especially for customer appointments with presentation material. No reason is given here. Plausible for a customer appointment, but a short reason should be added.
Meal allowance€44.80OK The calculation (2× €14 arrival/departure day + 1× €28 full day – 2× €5.60 breakfast deduction) matches section 7 of the policy exactly.
Deadline–OK Trip ended 3 Oct, submitted 5 Oct – well within the 4-week deadline (section 8).

Result

The claim is not reimbursable without corrections. Two points need to be clarified before it is approved:

  1. 1st class rail (€179.80 in total): Request proof that 1st class was not more expensive than 2nd class – otherwise only reimburse the 2nd class fare.
  2. Hospitality (€186.40): Request a complete, signed hospitality receipt with the occasion and attendees – otherwise remove the item.

The taxi receipt (€31.80) can go through with a short reason ("customer visit with presentation material"), but this should be added.

Comparison of the three quotes – packaging material Q4

All three suppliers were asked on 22 Sep 2026; the quotes are dated 29 Sep 2026. They quote identical items (carton 400×300×200, carton 600×400×300, PP packing tape 50mm/66m), but with different prices, delivery terms and extra costs.

Assessment

  • Lowest net price: Beispiel Karton (€11,950), but without freight and palletising – the actual cost will be higher depending on the number of pallets and the freight route. Without these figures, a true final-price comparison is not possible.
  • All-inclusive, fastest delivery: Muster Pack delivers in 10 working days, free to point of use incl. palletising, but at €13,100 it is the most expensive quote and has the shortest payment term (14 days).
  • Best compromise: Muster Verpackung – €12,480 fully delivered and palletised, moderate delivery time (14 calendar days), plus a 2% discount for payment within 10 days (effectively €12,230.40). But the price is only binding for 30 days.

Conclusion: On net price alone, Beispiel Karton comes out ahead, but the missing freight/pallet costs put that into perspective. Taking delivery terms and the discount into account, Muster Verpackung is likely the most economical overall package. Muster Pack only wins if delivery time is critical.
